Air Freight Operations Coordinator

Location: Heathrow area
Hours: Monday to Friday, 12:00pm to 9:00pm
Salary: Up to £38,000 per annum
Job Type: Full-time, Permanent

An established logistics business is looking for an experienced Air Freight Operations Coordinator to join their busy operations team near Heathrow.

This is an excellent opportunity for someone with strong import and export experience who enjoys managing shipments from start to finish, working closely with customers, suppliers, overseas offices, transport teams and internal departments to ensure freight is moved efficiently, compliantly and cost-effectively.

The Role

As an Air Freight Operations Coordinator, you will be responsible for managing import and export shipments through the full operational process, ensuring excellent customer service, accurate documentation and compliance with UK customs and aviation security requirements.

You will be handling time-sensitive air freight movements, updating systems, coordinating collections and deliveries, arranging direct drives and onboard couriers when required, and ensuring files are completed accurately for invoicing and reporting.

Key Responsibilities

Manage air freight import and export shipments from start to finish

Ensure shipments are handled in line with UK customs procedures, AEO requirements and aviation security regulations

Complete and manage all relevant shipment documentation and online forms

Follow customer customs entry instructions and agreed SOPs

Liaise with customers, suppliers, overseas offices, warehouse teams and transport departments

Provide clear and professional customer updates regarding delays, flight changes and shipment progress

Arrange collections, deliveries, direct drives and onboard couriers where required

Negotiate with suppliers and ensure accurate costs are obtained at the time of booking

Update internal systems with shipment notes, actions and workflow information

Monitor files to ensure correct costs, tariffs and billing information are applied

Resolve invoice queries and help prevent repeat errors

Respond to quotations within agreed timeframes and follow up as required

Identify opportunities to improve efficiency, profitability and customer service

Requirements

Previous experience in air freight, freight forwarding or logistics operations

Strong knowledge of import and export processes

Customs Declaration Service experience is essential

Solid understanding of UK customs law and procedures

Experience working in a fast-paced, customer-facing operations environment

Strong communication skills, both written and verbal

Excellent attention to detail and organisational skills

Ability to prioritise workload and work well under pressure

Good IT skills, including Microsoft Office

CargoWise experience would be preferred, but training can be provided

Dangerous Goods knowledge would be advantageous

Experience within aerospace or aviation logistics would be beneficial

Package

Salary up to £38,000 per annum

Monday to Friday role

12:00pm to 9:00pm shift

25 days holiday plus bank holidays
