Long Term temp work - Democratic Coordinator 6 months plus.

Monday - Friday 9am - 5pm

Fully onsite

£26.09 per hour

Job Summary

The Democratic Coordinator helps run the companys decision‑making processes. This includes organising meetings, supporting councillors and senior staff, and making sure everything follows the law and council rules.

What You'll Do

1. Support council decision-making

Help manage how the council makes decisions, making sure everything follows legal rules and council procedures.
Taking Minutes in multiple meetings (Minute taking skills are essential and a very big part of this role.
Work closely with the Democratic Manager and Legal Manager.2. Prepare meeting agendas and papers

Gather reports from different services and put them into meeting agendas.
Get these approved and published for council meetings.3. Manage reports and documentation

Chase missing or delayed reports.
Upload and manage documents on the council's systems so they're available when needed.4. Attend and support meetings

Go to meetings and act as the clerk (organiser and advisor).
Guide councillors and senior staff on procedures.
Record what happens, write minutes, and track actions.5. Plan meeting schedules

Organise and maintain the calendar of council meetings (sometimes up to 2 years in advance).6. Support councillors

Help councillors who represent the council on external groups or committees.7. General administration

Carry out other administrative tasks to keep Democratic Services running smoothly.8. Manage staff

Line manage team members.
Provide direction, training, and support development.9. Improve systems and processes

Help develop and maintain systems for managing meetings and publishing information online.10. Ensure legal compliance

Regularly review processes to make sure meetings follow legal requirements.11. Follow purchasing rules

Make sure any buying or contracts follow council financial rules.12. Area Support Team (AST) role

Act as clerk for the Children's Panel system.
Work with Children's Hearings Scotland.
Help recruit, train, and pay panel members.13. Handle complaints coordination

Act as the main contact with the Scottish Public Services Ombudsman.
Coordinate responses across the council.14. Attend senior meetings

Represent the team at internal senior-level meetings when required.15. Support elections

Help organise and run elections.16. Other duties

Do any other tasks required for the role.
