Sales Office Manager Location: Sheffield Type: Full-Time Hours: 37.5 hours per week (Monday – Thursday 08:00 – 16:00 & Friday 08:00 – 15:30) Salary: £36,000 – £43,000 (depending on experience) Role Overview We are seeking an experienced Sales Office Manager to join our commercial team within a busy production and manufacturing environment. This role is responsible for managing a small sales administration team while ensuring the smooth coordination of customer orders, commercial processes, and operational communication across the business. The successful candidate will act as a key link between customers, production, logistics, and senior management, ensuring customer expectations are managed effectively and orders are processed in line with company procedures. Given that approximately 90% of company sales are exported, experience with export sales processes and international documentation is essential. This position is ideally suited to someone with strong organisational and communication skills who is comfortable working with large OEM customers and managing deadlines within a fast-paced operational environment. Key Responsibilities Sales Office & Team Management Manage and support a small sales office team to ensure efficient processing of customer orders and enquiries Oversee daily sales administration activities and ensure company processes and procedures are followed Provide guidance, coaching, and support to team members Customer & Account Coordination Act as a key contact for customers, ensuring clear communication and high service levels Manage customer orders from initial enquiry through to delivery Build strong relationships with key customers, including large OEM organisations Manage customer expectations regarding delivery schedules, product availability, and lead times Export & Commercial Operations Coordinate and manage export sales documentation including: Commercial invoices Packing lists Certificates of origin Export declarations and shipping paperwork Work closely with logistics and shipping partners to ensure compliance with international trade requirements Ensure all export processes comply with relevant regulations and company procedures Internal Collaboration Liaise with production, planning, logistics, and finance teams to ensure orders are fulfilled efficiently Work with senior managers to resolve operational and commercial issues Support the wider commercial strategy by improving processes and service delivery Performance & Organisation Monitor order progress and ensure deadlines and targets are met Maintain accurate customer records and documentation Identify opportunities to improve efficiency within the sales office Candidate Requirements Essential Previous experience in sales office management, sales coordination, or commercial administration Experience managing or supervising a small team Strong experience handling export sales and international documentation Excellent communication and relationship-building skills Experience dealing with large customers or OEM organisations Strong organisational skills and ability to manage multiple priorities Ability to work effectively within a production or manufacturing environment Desirable Experience within manufacturing, engineering, or industrial sectors Knowledge of international shipping and export compliance Familiarity with ERP or order management systems Personal Attributes Highly organised and detail-oriented Strong communicator across multiple levels of an organisation Customer-focused with a proactive approach Calm under pressure with strong problem-solving ability Team-oriented leadership style
